Overview of How to Get Started Using iVirtuAssist Travel

If you have never used our travel services, here is what you need to know about the entire process from requesting a quote to using our assistance to book your trip:

First Step: Submit A Travel Quote Request (Cannot be Waived)

A quote request is the first step in using our travel services.  When you submit a quote to iVirtuAssist, you are giving us permission to proceed with making travel arrangements on your behalf and without it, we are unable to provide any travel-related services

All quote requests will require a fee, which must be paid in advance before a quote can be generated.  To learn more about our fees, please visit the following link: https://travel.ivirtuassist.com/our-fees/

If you need assistance filling out a quote request, an agent may be able to assist but a special services fee may apply and may be added to the quote request fee.  Please contact us if you are unable to submit a quote yourself and we'll provide next steps in the process.  We will work with you to obtain the proper consent to enter a quote request on your behalf

Second Step:  Securely Send Us Your Payment & Consent

After a quote request has been submitted we will contact you to obtain billing information and provide you with a link to securely send us important documents required to process your request.

It is important that an active credit card is on file before we generate a quote request.  We accept all major credit or debit cards with a Visa or Mastercard logo.  We do not accept any other form of payment towards the use of any travel-related services.

After we have received your payment information and electronically signed forms, we will provide your quote request. 

Quote Process: What to Expect Next

The entire quote request process (including securely sending documents to us) can take up to 3 business days, depending upon how quickly you send us your information. 

After your payment is authorized, you can expect to receive your quote within 24 hours. 
All quoted fares and rates from suppliers/carriers are not guaranteed until ticketed/booked/confirmed.

Ready to Book? Activate Booking Services

After receiving your quote, you are ready to make an informed decision on whether to use our booking services or self-book using your own resources.  However, if you decide to use our booking services your quote may be time-sensitive, as it pertains to rates, so it is important to act quickly if you plan to use the service.

If you prefer to proceed with booking services, your agent will work with you to obtain a second consent; meaning, you will need to ensure your payment information is up-to-date and submit the proper forms, using our secure document tool.  Your agent will provide you with instructions for accessing the secure document portal.

After we receive your necessary documentation, the booking process officially begins and processed in accordance with the deadline established by your agent.  (Bookings are time sensitive and are processed by our staff quickly so please look for confirmation as instructed by your agent).

All fees quoted are re-priced so that we can book your trip and lock-in pricing with suppliers.  Remember, quotes from suppliers are not guaranteed until tickets/reservations are paid and confirmed by the carrier/supplier.

You will receive confirmation of your travel arrangements along with an itinerary that will break down your trip day-by-day, including planned activities, if applicable.
